How G2 Speech helped one consultant eliminate week-long delays in patient correspondence

For consultants, timely communication with GP practices and patients is essential. However, administrative delays can often mean that correspondence takes days - or even weeks - to reach the people who need it.

For one Orthopaedic Surgeon, Mr Ashutosh Acharya, this challenge led them to search for a speech recognition solution that could speed up documentation without compromising quality or accuracy.

The challenge

Before implementing G2 Speech’s SpeechAmbient, there was a significant delay between patient consultations and letters being sent.

"Before using G2 Speech, there was a delay of at least a week between dictating patient consultation letters and those letters being typed up and sent to GP practices and patients. This was a significant problem for me."

The consultant wanted a solution that could streamline the documentation process and reduce the time between seeing a patient and sharing important clinical correspondence.

Choosing G2 Speech

Before deciding, he evaluated several speech recognition and ambient voice technology providers.

"I explored several other providers, including some well-known names before choosing G2 Speech."

While functionality was important, it was the level of service and governance that ultimately influenced the decision.

"G2 Speech was the first company where I could speak directly to a person, and I was given a relationship manager rather than a generic support line."

They also valued our proactive approach to data protection.

"G2 Speech was the first, and so far the only, provider to proactively supply me with the required Data Protection Impact Assessment (DPIA) and Data Processing Agreement (DPA) for my records."

Tailored templates that reflect the clinician's style

Following implementation, our team worked closely with the consultant to develop bespoke templates based on their existing documentation style.

"My relationship manager has since built a number of templates for me, and the quality of the letters these produce is noticeably better than other software I have used, closely matching my own dictation style and voice."

Accuracy was another major factor.

"I have also not experienced G2 Speech generating or inserting inaccurate diagnoses or comments, which I have seen as a risk with other AI-generated dictation software."

Although the consultant initially had concerns about not creating templates independently, those concerns quickly disappeared.

"I had initial reservations because currently, G2 Speech supports the use of pre-configured templates, with bespoke template creation and maintenance managed through their configuration tools. In practice, this has been a positive. The templates built by the G2 Speech team, and the resulting document quality, have been better than software where I had that control myself."

Faster correspondence and responsive support

The biggest impact has been on turnaround times.

Instead of waiting at least a week for letters to be typed and sent, the consultant can now produce correspondence on the same day as the patient consultation.

"Since adopting G2 Speech, I am able to send letters to my secretary on the same day, cutting the lag between seeing a patient and the relevant correspondence reaching the GP practice and the patient."

The implementation was also supported by a responsive customer success team.

"I had a few early teething issues, but these were resolved quickly whenever I contacted the team by phone or email."

Advice for clinicians considering speech recognition

Mr Acharya believes G2 Speech is particularly well suited to clinicians who have an established documentation style, regularly produce similar types of correspondence, and need a speech recognition solution that delivers accurate results across a wide range of accents.

"I would recommend G2 Speech, particularly to consultants who dictate letters in a specific, consistent way and who have a narrower need for templates."

They also recommend taking a phased approach to implementation.

"Think carefully about your practice profile, narrow down the templates you are likely to need, and share anonymised sample clinic letters with the G2 Speech customer services team so they can build these for you. Start with a small number of templates, such as a New Patient letter and a Follow-up letter, and build up gradually from there."

Key takeaways:
  • Reduced patient correspondence turnaround from at least one week to the same day.
  • Improved quality and consistency of consultation letters.
  • Templates tailored to the clinician's own documentation style.
  • No experience of inaccurate diagnoses or hallucinated clinical content.
  • Dedicated relationship manager providing personalised support.
  • Proactive provision of DPIA and DPA documentation to support information governance.

SpeechAmbient captures clinical conversations and converts them into accurate, structured documentation. While you’re still having your conversation with the patient, the software listens in the background, recognises medical language, and converts the conversation into a structured report.
